A good expense policy starts with clarity.

How to transform rules into simple decisions for those who register, approve and accompany expenses.

An expense policy works only when people can apply it as they spend. If an employee has to decipher a long document before requesting reimbursement, the rule needs to be clearer.

Start with real situations

List the expenses that appear in the routine: food in visits, transportation, accommodation and punctual purchases. Talk to those who request and who approve. The goal is to identify where doubts arise, what information is missing and what exceptions happen again.

  • Separate recurring expenses from exceptional situations.
  • Set examples of permitted and not allowed expenses.
  • Identify who can clarify doubts in each area.

Explain each spending limit

An isolated value can leave room for interpretation. Specify whether the limit is valid per person, per day or per event. Explain which proofs are required and when the request should be sent. Prefer short instructions, accompanied by an example of completion.

Draw the way of exceptions

Exceptions are part of the operation. An expense above the limit may need a justification and a second approval. Document who decides, what information this person receives and how the answer reaches the collaborator. So a different situation does not depend on a lost conversation.

Turn the document into routine

Before setting up rules in the system, test three cases: a common expense, another over the limit and an incomplete request. Make sure the path makes sense to all the people involved. After implantation, review the points that continue to generate doubts.

  • Maintain an existing version and a policy officer.
  • Report changes before applying them.
  • Use team doubts to improve examples.

What to observe later

Follow the most frequent return reasons and exception types. Many corrections for the same reason may indicate an ambiguous instruction or a unclear field. Policy must evolve together with the company, maintaining the history of changes and an easy to find reference.
